Entry of all substitutes and absences into payroll/personnel system
Balance/run payroll for all employees and substitutes 24 payrolls per year
ECA payroll 6 times per year
Direct deposit of payroll and HSA
Payroll claims for processing
Manage Doculivery site
PersonnelMaintain personnel files for each employee and substitute
E-verify reporting
Data entry of licensure and position information
Sick/Personal/Vacation days - balancing and maintaining
Contract preparation for administrators and teachers
ECA contract preparation for all ECA positions (certified and lay coaches)
InsuranceHSA liaison with JCB
Balance medical billing with Southeatern Indiana Consortium
Balance dental billing with Anthem
Balance vision billing with Anthem -pay with EFT
Work with HR to make changes/cancellations to individual employee plans internally and online with Steele Benefits/Anthem
Balance life insurance and LTD monthly billing/claim prep
COBRA reporting through Infinisource
Manage retiree insurance annually coordinating with VEBA
MiscellaneousMaintain annuity billing/reporting claims prep Century, Voya, Metlife, Valic
Manage and balance all wage garnishments and reporting each payroll/claim prep
Manage Sick Leave Bank and reporting for certified and non-certified sick bank
New Hire Reporting - monthly to Indiana Workforce Development
Monthly Employment Statistics survey to federal government
Quarterly worksite report of employment statistics to Dept. of Labor
Yearly W-2 preparation and filing (federal and state)
Affordable Care Act Reporting (1095/1094c) - Taken care of by Steele Benefits once we review
Medicare/Medicaid verification online service reporting
Monthly state/county tax filing report and pay by EFT
PERF/TRF reporting each payroll to INPRS and pay by EFT
Quarterly unemployment reporting
United Way dues deduction/balancing/claim prep
Annuity deductions and monthly billing/claim prep for Metlife, Valic, Century, ING
Employee calls/emails related to any aspect of pay, contract or benefits
Assist HR with new hire orientation and paperwork
Assist HR with yearly Classified Handbook review
Employment verifications (verbal and in writing)
Cover front desk as needed
Authorized signor for Metlife, Voya, Valic, Century, VEBA, TRF, PERF and all federal and state reporting
Assist HR department with responsibilities as needed

Education And/or ExperienceHigh School Graduate or equivalent plus 5 years secretarial/office management experience specifically experience with payroll.
Language SkillsAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees at organization.
Mathematical SkillsAbility to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning AbilityAbility to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Other Skills And AbilitiesMust have strong communication, computer and interpersonal skills. Must have ability to learn and utilize new software programs as systems are upgraded. Good grammatical spelling and punctuation.
